The Electronic Medical Journal recognizes and respects the fundamental right to privacy of all individuals who interact with the journal, including authors, reviewers, readers, editors, and editorial committee members. This statement describes how we collect, use, protect, and manage your personal data within the editorial system and in compliance with the ethical principles of scientific publishing.

During the registration process, manuscript submission, peer review, or subscription to notifications, the following information may be collected:

  • Institutional affiliation (institution, province, country)
  • ORCID identifier
  • Roles in the system (author, reviewer, reader, editor)
  • Manuscript metadata (title, abstract, keywords, etc.)
  • Comments and editorial decisions (within the framework of open peer review)
  1. Purpose of data processing

The personal data collected will be used exclusively for the purposes stated by the journal, which include:

  • Management of the editorial process (submission, review, editing, and publication of articles)
  • Communication related to manuscripts (status notifications, review requests, corrections)
  • Ensuring transparency and traceability of the scientific process
  • Generating anonymous statistics on editorial workflow (without identifying individuals)
  • Compliance with ethical and legal requirements (plagiarism detection, conflict of interest management, authorship verification)
  1. Confidentiality and data access
  • The names and email addresses entered in this journal will be used exclusively for the stated purposes and will not be available for any other purpose or shared with any third party unrelated to the editorial process, except in the following cases:
    a) Open peer review: reviewers’ names will appear in the published article, in accordance with the journal’s editorial model.
    b) Legal requirement: when ordered by a competent authority through a valid judicial mandate.
    c) Editorial transfer: if a manuscript is transferred to another journal within the same editorial consortium (with the author’s consent).
  • Access to personal data is restricted to the authorized editorial team and assigned reviewers, only to the extent necessary to perform their duties.
  1. Data retention and deletion
  • Personal data will be retained as long as necessary to fulfill editorial and legal purposes, including the permanent archiving of published articles (which forms part of the scientific heritage).
  • Data from users who have not participated in the system for more than 5 years may be archived or deleted, unless the information is part of a historical editorial record.

You have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data, unless there is a legal or editorial obligation to retain it (e.g., if you are the author of a published article)
  • Withdraw your consent at any time (though this will not affect the lawfulness of prior processing)
